1. Privacy Policy

We are committed to protecting your personal data and respecting your privacy. This Privacy Policy outlines how we handle your information when you register for our international conferences, submit research abstracts, or visit our website.

• Data Usage & Publishing: We will use only your full name, abstract title, and professional photographs for promotional purposes across our official website and social networking channels.
• Confidentiality: Your personal details and contact information will not be shared, sold, or rented to any third parties under any circumstances.

2. Terms and Conditions

By registering for, attending, or submitting content to our conferences, you agree to comply with and be bound by the following Terms and Conditions.

• All conference registrations must be completed through official authorized channels.
• Registration fees cover access to scientific sessions, conference materials, coffee breaks, and designated networking lunches as specified in your registration tier. Travel, lodging, and visa arrangements are the sole responsibility of the attendee.
• Admission to conference venues is restricted to registered participants wearing official badges.

• While we strive to provide vibrant academic gatherings, the organization does not guarantee, warrant, or claim a specific number of participants, exact attendee counts, or precise audience demographics for any conference. Estimates or projected numbers mentioned in marketing materials are for general informational purposes only.

• The organization reserves the absolute right to change the conference venue (including shifting to a different hotel, facility, city, or transitioning to a virtual/hybrid format) if necessary due to operational requirements, capacity adjustments, or unforeseen circumstances. Registered participants will be notified of any venue changes via email as promptly as possible.

• Presenters and speakers retain copyright of their original research, abstracts, and presentations while granting the organizers a non-exclusive license to publish, display, and distribute conference programs, proceedings books, and digital archives. Unauthorized audio/video recording or photography of proprietary scientific sessions without express consent is strictly prohibited.

• The organizers shall not be liable for any direct, indirect, incidental, or consequential damages, personal injury, property loss, or theft incurred by attendees during the conference or at the venue hotel. Participants are strongly advised to secure their own travel, medical, and personal insurance prior to attending.

• All participants (speakers, delegates, exhibitors, and sponsors) are expected to maintain professional and respectful behavior at all times.
• We reserve the right to remove any attendee from the premises without warning or refund if their conduct is deemed disruptive, harassing, or in violation of safety and venue regulations.

• By completing your registration and submitting payment, you expressly agree to adhere to our published Cancellation and Refund Policies.
• Chargebacks Prohibited: Participants agree not to initiate chargebacks, payment reversals, or banking disputes for issues arising from visa delays, visa rejections, travel restrictions, personal schedule conflicts, or any other participant-side grievances. Any disputes must be resolved directly through our support channels in accordance with our refund and cancellation timelines. Unauthorized chargebacks will be contested using these terms and your registration agreement.

3. Cancellation Policy

We understand that unforeseen circumstances may arise requiring changes to your travel schedule. Our cancellation policy applies uniformly to all registered participants:

• More than 45 Days Prior to Conference: Registrations canceled at least 45 days prior to the conference start date are eligible for a 100% refund.
• Less than 45 Days Prior to Conference: No refunds will be issued for cancellations requested less than 45 days prior to the conference start date.
• Substitution & Transfer Policy: If you are unable to attend the conference less than 45 days prior to the event, substitute participants (colleagues or co-authors) are welcome at no extra charge, provided written notice with the replacement delegate's details is submitted at least 5 business days prior to the conference start date.
• Conference Postponement or Rescheduling: In the event that a conference is postponed or rescheduled by the organizers, registered participants will have the option to either transfer their registration to another upcoming conference of their choice or opt for a 100% refund (processed post-conference).
• Cancellation Due to Natural Calamities & Unforeseen Situations: In the event of event cancellation or disruption caused by natural calamities (such as earthquakes, floods, hurricanes), government restrictions, acts of God, war, terrorism, global health emergencies, or any other extraordinary unforeseen circumstances beyond the control of the organizers, registrations will be transitioned to future event credits or rescheduled dates. Direct cash refunds under force majeure conditions are subject to organizational review and, if approved, will be processed post-conference.

4. Refund Policy

• Processing Timeline: All approved refunds will be processed post-conference within 20 to 30 working days to the original method of payment.
• Visa Issues & Chargeback Waiver: As visa procurement and travel logistics are the sole responsibility of the attendee, visa rejections or travel complications occurring within the non-refundable window do not qualify for refunds outside our stated policy. Initiating a bank chargeback or payment dispute in lieu of following official cancellation guidelines is strictly prohibited under our Terms and Conditions.
